Turn your meeting notes into marketing, with Fireflies, Fathom or tl;dv

Your best marketing material is said out loud in sales calls, demos and customer interviews, then forgotten. Connect your notetaker and Toby reads each new meeting, keeps only what matters for marketing (decisions, objections, exact customer words, competitors, next steps) and gives each action item to the right agent.

What Toby does with your notetaker

Exactly what the connector does today. Reads happen right away; anything that changes, publishes or sends something waits for your approval.

What you get, concretely

Examples on fictional businesses, in the app's exact format. Numbers are examples, not promises: yours come from your own data.

After a demo call with a prospect

I read the meeting “Demo — Brown Design Studio”: they like the invoicing, but the accountant's access is what will decide it. • The founder does her invoices on Sunday evenings, “because there's no other time” • Objection: “Our accountant uses another tool, I don't want to make him switch” • Competitor mentioned: Ledgerly (cheaper, but no recurring invoices) To decide: do we offer the accountant's read-only access on the Starter plan? Action items ☐ Leo: an FAQ entry “Does my accountant need an account?” ☐ Lina: a post on invoicing on Sunday evenings ☐ Toby: a one-page comparison with Ledgerly for sales calls
Example for Lumio, Toby's fictional demo invoicing app. Real summaries only contain what was actually said.

CMO

Example

Answer the accountant objection on the pricing page

Why: Toby's memory: the same objection came up in 4 of the last 9 demo calls (“I don't want my accountant to switch tools”). The pricing page never mentions accountants, and the audit shows 38% of visitors leave from it.

Example estimate: +5 to 10% trial starts from the pricing page

New block under the plans
Title: Your accountant keeps their tools
Text: Send them a read-only link: they see every invoice and export it to their own software in one click. No account, no training, no extra seat.
FAQ entry: “Does my accountant need a Lumio account?” No. A secure link is enough, and you can revoke it anytime.

A founder post built from a customer's words

“I do my invoices on Sunday evenings, because there's no other time.” A bakery owner told us that last week. She's not alone: in our calls, Sunday evening comes up again and again. So we asked ourselves one question: what would it take for invoicing to fit in the 10 minutes before the week starts? Three changes came out of it: recurring invoices, automatic reminders and a read-only link for the accountant. When do you do your admin?
Example. The quote is attributed by role, never by name; you can remove any quote you'd rather keep private before posting.

SEO & GEO

Example

Publish a fair comparison page with Ledgerly

Why: Prospects named Ledgerly in 5 meetings this month, always on price. Search Console shows 320 impressions a month for “ledgerly alternative” and no page of yours ranks for it.

Example estimate: 30 to 60 visits a month from comparison searches

First deliverable, ready to paste

Page outline: Lumio vs Ledgerly
H1: Lumio or Ledgerly: which invoicing app fits a small business?
1. Who each one suits (fair verdict, both sides)
2. Side by side: recurring invoices, reminders, accountant access, price
3. What customers who switched told us (quotes from your calls, by role)
4. How to move your invoices in an hour

Connect your notetaker

About 2 minutes with an API key

An API key from Fireflies, Fathom or tl;dv (tl;dv's API needs its Business plan), or a Zapier or Make account for any other notetaker.

  1. 1

Fireflies: app.fireflies.ai → Integrations → Fireflies API, copy your API key. Fathom: Settings → API Access → Generate API key. tl;dv: Settings → API keys → Create.

  2. 2

In Toby, open Integrations, pick the card of your notetaker → Connect, and paste the key. Toby checks it right away.

  3. 3

Any other notetaker: connect the Any notetaker (Zapier / Make) card. Toby posts your private address in #team: keep it secret, it works as a password.

  4. 4

In Zapier or Make, trigger on “new transcript” in your notetaker, then send a POST in JSON to that address with four fields: title, date, participants, transcript.

  5. 5

Hold your next call. The summary appears in #team a few minutes after the transcript is ready.

Good to know

  • The transcript is never stored. Toby reads it once, keeps the marketing learnings and discards the rest. Transcripts are treated as data, never as instructions to the agents.

  • Very long meetings (roughly two hours or more) are read on their beginning and end: the middle is left out, and Toby is told not to guess what was said there.

  • Through Zapier or Make: up to 30 meetings a day, 500 KB per transcript, and the same meeting sent twice is only read once.

  • Pause and budget come first. While the team is paused or today's AI budget is reached, meetings wait: notetakers with an API are retried later, a Zapier or Make send is refused and can be sent again.

  • Each meeting uses AI credits from your daily budget, like any other task. Only marketing-relevant meetings produce a summary.

Frequently asked questions

Which notetakers work with Toby?

Fireflies, tl;dv and Fathom connect directly with an API key. Any other tool that can send its transcripts to Zapier or Make (Otter, Granola, Zoom, Google Meet recordings and others) works through the “Any notetaker” card.

Does Toby keep my call recordings or transcripts?

No. Toby never receives recordings, and it reads each transcript once without storing it. What it keeps is the short list of learnings: decisions, customer insights and quotes, competitors and action items, visible in Toby's memory, a document you can edit like the others.

Are customer names used in posts or ads?

Quotes are saved with the speaker's role, not their full name, and agents use them as they were said. Before anything is published, you see it and approve it, so you can drop a quote you would rather keep private.

What happens with internal meetings?

If a meeting holds nothing useful for marketing, Toby skips it: no summary in #team, just a line in the action log. Team meetings where a launch date or a pricing decision is taken are summarized like any other.

In which language are the summaries?

In your workspace language, English or French. Quotes stay in the language they were spoken in.

Do I need a paid plan of my notetaker?

It depends on the tool: tl;dv's API is part of its Business plan; for Fireflies and Fathom, check that your plan includes API access. For the Zapier or Make route, check that your plan allows sending webhooks.
