Agencies

The AI marketing tool for agencies that run many clients

Agency work is context switching: one client’s tone of voice in the morning, another’s search terms after lunch, a third one’s weekly update before the call. Toby gives each client its own company workspace (Brand Brain, agents, connected tools, memory, approval queue) and you move between them from the sidebar. The agents take the first draft of the work: audits, keyword lists, briefs, copy, ad variations, reports. Your team reviews, decides and presents it to the client.

Example

Harbor Dental: rewrite the titles of 5 service pages with weak click rates

Why: Client’s Search Console: “dental implants cost austin” sits at position 4.1 with 2,900 impressions a month but a 1.2% click rate. Four other service pages show the same pattern; their titles are just the treatment name.

Example estimate: +250 to +400 clicks a month across the five pages, about 8–12 more booking requests

First deliverable, ready to paste

Dental implants · New title: Dental Implants in Austin from $1,950, Free Consultation | Harbor Dental
Meta: Three clinics in Austin, same-week appointments and a clear price before treatment. Book your free implant consultation.
Teeth whitening · New title: Teeth Whitening in Austin, Results in One Visit | Harbor Dental
Invisalign · New title: Invisalign in Austin: Price, Duration and Free Scan | Harbor Dental
(2 more in the draft, each with its meta description)

Example

Stackwise: block 23 search terms that spent $480 with no sign-up

Why: Search terms report your team exported for October: queries like “free project tracker excel”, “stackwise jobs” and “what is a kanban board” spent $480 together with zero sign-ups, about 17% of the client’s monthly search budget.

Example estimate: around $480 a month redirected to converting terms

First deliverable, ready to paste

Negative keywords (phrase match), campaign level:
“free” · “excel” · “template download” · “jobs” · “careers” · “salary” · “what is” · “definition” · “course”
Exact-match negatives: [stackwise login] (brand traffic already organic)
Keep and add as exact match: [project tracker for agencies] (3 sign-ups, $21 each)
Note for the client update: $480 of wasted spend found and stopped in October.

Copperleaf Coffee: launch the subscription page discussed in Tuesday’s call

Why: Fathom summary of Tuesday’s call: the founder said “subscriptions are our priority for Q1”, and two customer quotes she shared mention “never running out of beans”. Shopify shows 41% of customers reorder within 45 days, but the site has no subscription page.

Example estimate: 60 to 90 subscribers in the first quarter

First deliverable, ready to paste

Headline options:
1. Fresh beans every 2, 3 or 4 weeks. Never run out again.
2. Your coffee, roasted on Monday, at your door by Thursday.
3. The subscription you can pause from your phone.
Subheadline: Skip, swap or pause anytime. Free delivery on every box.
Email to customers who reordered twice: Subject: You order every 5 weeks. Want us to remember for you?
Open point for the client: discount or free shipping only?

Frequently asked questions

How many client companies can I manage?

As many as you need: each client company is its own subscription at $99 a month. Each one has its own agents, Brand Brain, connected tools, autonomy settings, Pause button and daily AI cost cap, and you switch between clients in one click.

Is each client’s data kept separate?

Yes. Brand Brain, memory, conversations, recommendations and connections belong to one company. Keys are stored encrypted and never sent back to the browser. When an agent works for a client, it only reads that client’s data.

Can my clients log in, or can I white-label Toby?

Not today. Toby has no white-label version and no client portal: it is a tool for your team. You share the work with clients the way you already do. With Notion connected, Toby can write plans and reports into a Notion page you choose.

Can each client have its own Slack or Discord channel?

Connections are set per company, so each client workspace can be linked to its own Slack or Discord channel: the team answers there, by DM, and #team is mirrored. Approvals always happen in Toby.

How do meeting notes reach the right client?

Each client company has its own notetaker connection. With the Zapier or Make webhook, every company gets its own address, so a filter on the meeting title or attendees can send each client’s calls to its workspace. Only the marketing-relevant summary is kept, not the transcript.

Does Toby replace account managers?

No. It removes the first-draft work. Judgment, the client relationship and the final call stay with your team. Toby can be wrong, which is why every publication, send or change in a tool waits for approval, and ad budgets are never spent on their own.
